The Role of a National Registry Program Director

Program Directors are responsible for validating the competency of candidates seeking National EMS Certification. While responsibilities vary slightly by state, Program Directors are normally responsible for verifying successful course completion for all certification levels. In some states, Program Directors are responsible for conducting EMT level psychomotor examinations. CREATE A NATIONAL REGISTRY ACCOUNT

Before a Program Director can request the Program Director role, they must have a National Registry account. If you already have a National Registry account, do not create a new account. See the section below "Add the Program Director Role to my National Registry Account" for detailed instructions.

Follow the steps below to create a National Registry account:

  • From the homepage select Create An Account
  • Choose a username and password (both are case sensitive)
  • Enter your LEGAL name. (If you need to change your name in the future, you will be required to provide legal evidence of a name change.)
  • Enter YOUR email address, YOUR phone number, and YOUR address.

HOW DO I ADD THE PROGRAM DIRECTOR ROLE TO MY NATIONAL REGISTRY ACCOUNT?

If you are currently certified as a National EMS Provider, or already have a National Registry account, follow the process below to add the Program Director role:

Login to your National Registry User Account.
Click on “ACCOUNT SETTINGS” in the left margin or the “SETTINGS” button in the upper right corner of the screen.
On the Account Settings screen locate Manage Roles on the right side of the screen and select Add Roles.
Select the link "Add Program Director Role".
Read the pop-up statement Select Add Role.

 

ASSOCIATE AS PROGRAM DIRECTOR (PARAMEDIC PROGRAM)

The following steps are intended only for associating with a CoAEMSP accredited paramedic program.

Log In

Login to your account. Note: You must have the 'Program Director' role activated on your National Registry account. If you do not already have this role, or you do not have an National Registry account, see the How To Guides listed above.

Associate With An Existing CoAEMSP accredited EMS Program

  • Login with your user name and password.
  • Under My Current Role, select Program Director
  • Click on the Account Settings button on the left-side menu.
  • Under the Program Director Settings section, click on Request for EMS Program Authorization.
  • Click on Associate with an Existing EMS Education Program.
  • Select your Authorizing State.
  • Click the appropriate radio button to select CoAEMSP/CAAHEP Accredited or Letter of Review.
  • Select your Education Program
  • Click Submit.

CoAEMSP Approval

CoAEMSP will recieve the Program Director Change request and approve or deny the request in accordance with their organizational policies. Please allow 7 - 10 business days for CoAEMSP to process your request.

 

ASSOCIATE AS PROGRAM DIRECTOR (EMR, EMT, AEMT PROGRAMS)

The following steps are intended only for program directors associating with programs that do not teach the paramedic course curriculum.

Log In

Login to your account. Note: You must have the 'Program Director' role activated on your National Registry account. If you do not already have this role, or you do not have an National Registry account, see the How To Guides listed above.

Associate With An Existing EMS Education Program

  • Login with your user name and password.
  • Under "My Current Role", select Program Director
  • Click on the Account Settings button on the left-side menu.
  • Under the Program Director Settings section, click on Request for EMS Program Authorization.
  • Click on Associate with an Existing EMS Education Program.
  • Select your Authorizing State.
  • Click the appropriate radio button to select State Authorized/Approved
  • Select your Education Program
  • Click Submit.

State Approval

Your state will receive the Program Director Change request and approve or deny the request in accordance with their organizational policies. Please allow 7 - 10 business days for your state to process your request.

If your request is not approved within the suggested timeframe, please contact your state office of EMS.

REQUEST AUTHORIZATION OF A NEW EMS EDUCATION PROGRAM

Request Authorization of a New EMS Education Program

You must have the Program Director role activated on your account. If you do not have a National Registry account, you must create one. Those steps are also listed above.

  1. Login with your user name and password.
  2. Under "My Current Role", select Program Director
  3. Click on the Account Settings button on the left-side menu.
  4. Under the Program Director Settings section, click on Request for EMS Program Authorization.
  5. Click on Request Authorization of an EMS Education Program.
  6. Complete the electronic form, read the attestation statement, then click the “Submit” button

After you submit the New Program Request Form, it will be sent to either CoAEMSP for Paramedic Programs, and/or to your State Office of EMS for EMR, EMT, and Advanced-EMT programs.

PREPARE STUDENTS TO GAIN INITIAL CERTIFICATION
AUTHORIZE STUDENTS TO TAKE A COGNITIVE EXAM
As program director, you are responsible for verifying when your students have completed a state-approved EMS course. Detailed instructions on how to make the necessary verifications are below. Verification of Course Completion

To verify course completion, click on ‘Course Completion Verification’ on the left side of the screen.

  • Review all the requirements listed and possible responses:
    1. This is ‘Not our student’ (Not Our Student)
    2. This student ‘Did not successfully complete program requirements’ (No Course Completion)
    3. This student, ‘Successfully completed program requirements as well as CPR and skill competency’ (Successful Course Completion)
  • Go to ‘Registration Level’. Use the pull-down arrow to select your choice
  • Click on ‘Select’
  • You will see a list of candidates who indicated they were part of your education program (last name and last four digits of their Social Security Number). The date in the ‘Course Completion Date’ column is the date provided by the candidate on their application. If the date is not correct, you may edit this field (note: only the month and year are recorded)
  • For each candidate, review the information and click on the appropriate statement as prompted
  • By clicking ‘Submit’ you are attaching your “electronic signature” to that candidate’s application
  • Once you have processed a student on the list, they will be removed
VERIFY EMT PRACTICAL SKILLS EXAMINATION RESULTS

Practical Exam Verification

EMR and EMT Level Exams

If your State permits, you will need to verify the Psychomotor (Practical) Examination of your students.

  • To verify skills, click on ‘Practical Exam Verification’ on the left hand side of the screen
  • Review all the requirements listed. As Program Director you will indicate one of the following responses
    • ‘Not Our Student’ or ‘Failed Final Attempt’
    • ‘Successfully Completed Practical Examination’ (Successful Practical Skills Completion)
  • Click on ‘Search’
  • You will see a list of candidates who indicated they were part of your education program as in Step 2. Proceed as prompted
  • By clicking ‘Submit’ you are attaching your “electronic signature” to that candidate’s application
  • Once you have processed a student on the list, they will be removed

Practical Exam Verification

Advanced Level Exams
Advanced level candidates (Advanced-EMT and Paramedic) may take the psychomotor evaluation (practical exam) following completion of the didactic and laboratory portions of an approved program if permitted by the program director and the State EMS Licensing Agency. Advanced level psychomotor examinations will be verified by National Registry Advanced Level Representatives.
WHAT IS THE DIFFERENCE BETWEEN AN ASSESSMENT AND A CERTIFICATION EXAM?

When candidates create their initial application, they will need to select an Application Type. All candidates seeking National EMS Certification at the EMR, EMT, Advanced-EMT, or Paramedic level should choose the appropriate Certification Exam. Assessment exams DO NOT result in National Registry certification. Typically, candidates should NOT choose an assessment examination unless specifically instructed to by their State EMS official(s) or their program directors.

Assessment Exams

Reasons to select an assessment exam may include the following:

  • An EMT candidate who is less than 18 years of age. (When the candidate turns 18, they may have their results transferred to National Registry certification for an administrative fee.)
  • A candidate who has been instructed to take the Assessment Exam by a State EMS Office.
  • An individual seeking approval as an EMS Instructor (varies by state)
